Simulation data — every student, hour and dollar below is generated for demonstration. No real records. When the system goes live, these screens run on real data.

Today at the Academy

One screen, opened once each morning. Everything that needs a decision surfaces here — nothing depends on somebody remembering to check.

Needs attention now

Today's classes

Leadership Dashboard

The whole school on one screen — the view Charmaine opens instead of asking five people. Every figure clicks through to the lane it comes from.

The pipeline, this quarter

Six-month trend — inquiries vs. enrollments

Where inquiries come from

Program interest — top five

Cost to acquire a student — by channel

SIMULATED SPEND Ad spend figures are demonstration numbers — the real ones come from your ad accounts on day one. The formula is the point: spend ÷ enrollments, per channel, updated live. A number without its assumptions is a sales figure.

Program profitability — honest version

Lives in Billing → Program revenue. Five of seventeen programs publish no price, so profitability can only be computed for the twelve that do — the table marks the rest TBD_TUITION_5 instead of guessing. The day you set those five prices, five rows light up.

All figures simulated and internally consistent — the same numbers every lane below reports. Green is reserved for Certified and Employed, the two stages that mean a life changed.

Admissions Queue

Every inquiry becomes a record at second zero, source-tagged, with a sixty-minute response clock. Untouched past the hour, it turns red and escalates — nothing goes quiet.

The Front Door — try it

Four fields. That's the whole ask.

Nothing is transmitted — the record is created right here in the demo.

What happens next — watch the clock
Submit the form and the sixty-second sequence runs live: record at 0s, text at 3s, email at 10s, queued at 30s with the countdown running.

The queue

Clocks simulate a live morning. In production the row opens the full inquiry, one tap logs the first contact, and the clock stops.

Why prospects don't enroll — lost reasons, logged at the moment of loss

Why this exists: your letter asks “why don't prospects enroll?” Today that answer lives in nobody's head because nothing records it. Here, closing a lead requires one tap on a reason — so the answer builds itself. Counts are simulated for one month.

Students

One person, one record. Search finds anyone in two keystrokes; the profile shows the whole journey — the same record the Staffing and Apprenticeship tiles will read later.

Cohorts & Classes

Every scheduled section of the seventeen programs — capacity, instructor, room, and fill rate. Program names, lengths and prices are transcribed from the live enrollment storefront (verified 1 Aug 2026); rosters are simulated.

Active & upcoming sections

Attendance — Clock Hours

Texas NATCEP requires 100 clock hours: 60 classroom + 40 clinical (26 TAC Ch. 556). Every session is signed, every hour is banked, and a student trending short is flagged before it becomes a completion problem.

Today's sign-in — CNA 3-Week Day (simulated)

Hour bank — students at risk first

Make-up rule, enforced by the system: a missed clinical day books a make-up before the cohort's final week, or the record flags red for the Program Director. Nothing silently slides to graduation day.

Enrollment

From accepted application to first day: agreement e-signed, documents collected, seat assigned, orientation booked. The e-sign, payments and document vault run on the Transition Enroll platform already paid for — this screen is the checklist wrapped around it.

Enrollment checklist board

Document set shown is the standard Texas CNA intake: government ID, TB test / immunization record, background check authorization, signed enrollment agreement, payment plan or payment in full. Items marked REGISTER live on the Transition Enroll platform.

Orientation

Every cohort starts with one orientation session. The checklist below it is per student — handbook signed, policies acknowledged, portal activated, uniform and supplies confirmed. First-day surprises go to zero.

Upcoming sessions

Next session — completion per student

Transfers, LOA & Withdrawals

Life happens to working adults. A transfer moves a student to another section with her banked hours intact; a leave of absence pauses the clock; a withdrawal records the reason and the refund state — the records TWC expects a licensed school to keep.

Recent movements

Why reasons are recorded: "why do prospects and students leave" is one of the seventeen questions. Reason codes here are the only honest way to ever answer it.

Testing & Certification

The Academy is a Prometric CNA regional testing site and an NHA testing center — students test where they trained. This screen books seats, tracks results, and shows pass performance by cohort.

Upcoming exam sittings

Awaiting results / recent

No historical pass rate is published anywhere on this portal — none has been documented yet. The demo shows the mechanism that will document it.

Placement & Outcomes

The stage that compounds. Employers, offers, start dates, and 30/60/90-day verification — recorded as they happen, because they cannot be reconstructed later. This is the evidence workforce funding is awarded against, and the order book the Staffing division opens with.

Placement log

30 / 60 / 90-day retention — the number funding reads

Why it cannot wait: a 90-day employment outcome can only be recorded at day 90 — it cannot be reconstructed at grant-application time. Check-ins are auto-scheduled at placement; each verification banks evidence with a date and a verifier. This is the trail workforce funding audits.

Billing & Payment Plans

Payments, plans, Apple Pay / Google Pay / Afterpay and financial assistance all run on the Transition Enroll platform the Academy already rents. This screen is the read-only rollup leadership sees — balances by cohort, plans on track, plans slipping.

Payment plan health (simulated)

Program revenue — which programs are most profitable

Tuition read from the live enrollment storefront (verified 1 Aug 2026). Revenue = enrolled × published tuition — simulated enrollment counts, real prices. Five programs publish no price and are shown as NO PUBLISHED PRICE — never guessed (TBD_TUITION_5). Margin needs instructor and clinical-site cost per program; that arrives with real data.

Integration note: figures flow from the register — nothing is re-keyed. Until platform API access is confirmed (TBD_PLATFORM_API), this rollup is the design target.

Org & Accountability

Your words: “almost everything ultimately comes back to me. That is one of the biggest things I want to change.” This screen is that change — every lane has a named owner, the system does the chasing, and only a breach reaches the CEO's desk.

Who owns what — today vs. with the system

The team

Leadership chain and headcount as you described them (7 employees — 4 FT, 3 PT). Role assignments below are the proposed operating model, for your correction.

What moves off the CEO's desk

Compliance & Records

A TWC-licensed career school (S5918), NATCEP-approved, keeps its records inspection-ready — not assembled the week an auditor calls. This screen is the standing self-audit.

Records checklist — per active student

Program integrity snapshot

Hour requirements per Texas NATCEP (26 TAC Ch. 556): 100 clock hours — 60 classroom, 40 clinical. Non-facility programs additionally hold TWC Certificate of Approval — the Academy's is S5918.
